Enrollment process

ABA Therapy Enrollment Process

Imagine ABA accepts clients year-round based on openings and therapist availability. Unfortunately, openings are limited. We strive to enroll and assess clients as swiftly as possible. We kindly ask for your patience. Here are the steps to our enrollment process:

  1. Enrollment Application Form- To begin, please complete our required enrollment application form, responding to each question with as much detail as possible. The information and documents you provide will assist our team prior to and during the initial consultations. You can find the Enrollment Application Form by clicking on any of the Enroll Now buttons embedded within the website, or by clicking on the Enrollment Form tab.
  2. Contact- When we have an opening matching your needs, our office staff will contact you to confirm the information provided on the enrollment form, discuss insurance verification, or our private pay options, and answer any questions you may have.
  3. Documents- If you would like to proceed with enrollment, our staff will send a welcome email with links to all necessary enrollment documents for your review and signature. These forms must be signed and submitted before we are able continue with the enrollment process. Once these enrollment documents have been completed, we will request authorization for an initial assessment from your insurance provider. Once we have received their approval, our office staff will contact you to schedule your child's initial assessment.
  4. Initial Assessment- The initial assessment is a comprehensive evaluation of your child's skills in the areas of behavior, communication, social abilities, adaptive skills, functional independence, task completion, self-advocacy, etc. Our BCBA will conduct the assessment through parent interview, observation, interaction, and direct instructional activities.  Insurance carriers typically require reassessment every six months.
  5. Treatment Plan- Following the assessment, our BCBA will develop a comprehensive individualized treatment plan prioritizing areas of concern identified during the initial assessment process.
  6. Assessment & Treatment Plan Review- You will then receive a copy of the assessment and our clinician's recommended treatment plan for your review. Once we have ensured the treatment plan addresses areas of mutual concern, we will submit the assessment and other required documentation to your insurance carrier for authorization.
  7. Therapy- Once we have received authorization, direct one-on-one therapy will begin. Treatment programs are supervised by our BCBA and typically carried out by our qualified and dedicated RBTs (Registered Behavior Technicians). Your child's team will continuously collect data and record each milestone met to show progress or highlight areas of treatment that may require adjustment, and meet with you frequently to discuss progress, concerns, to collaborate on goal development, and address parent training goals.
